How to Handle Last-Minute Event Changes as an MC

In ten-plus years of event hosting, I've never hosted an event that went exactly to the run sheet. The speaker who flew in from Sydney is stuck in traffic. The AV drops out during the keynote. The venue is running 20 minutes behind on the meal service. These are not exceptional circumstances — they're the normal texture of live events. Here's how to handle them.

The Pre-Event Contingency Conversation

Before every event, have a brief conversation with the organiser and venue coordinator: "What are the two or three things most likely to go off-plan tonight, and what do we do if they do?" This conversation means that when something shifts on the night, you're executing a plan rather than improvising under pressure.

The Audience Knows Less Than You Think

When something changes on the night, the audience rarely knows it's a deviation from the plan — unless you tell them. Manage program changes quietly, fill time smoothly, and communicate any necessary information to guests in a way that maintains confidence rather than creating anxiety. "We have a brief moment before our next speaker joins us" is better than "We're running late."

Buy Time Gracefully

Every experienced MC has techniques for filling unexpected gaps: brief, engaging observations about the evening; inviting table conversations; transitioning to a different element earlier than planned. The key is having these tools ready so they can be deployed without visible preparation.

Communicate Changes to Vendors Immediately

When the program shifts, the DJ, venue coordinator, and photographer need to know. A 15-minute delay that the MC is managing smoothly becomes a problem if the kitchen is about to send out main course on the old timing. Communication between vendors on the night is the MC's responsibility.
